The Opportunity 

Laughlin Children’s Center is seeking a full-time Administrative Coordinator to join our team. The Administrative Coordinator provides day-to-day administrative and operational support across the organization, with particular emphasis on reducing administrative demands on clinical and academic staff so they can maximize their client-facing time. As a member of both the Finance & Administration and Program Operations teams, the Administrative Coordinator reports jointly to the Director of Finance and Vice President of Operations. The Administrative Coordinator works collaboratively with clinicians, tutors, Intake Coordinators, the Front Desk Receptionist, and other staff to maintain efficient workflows, respond to administrative needs, and to support an organized and responsive experience for children and families. 

The position follows a structured weekly schedule, with Mondays and Wednesdays primarily focused on supporting clinical and academic programs and Tuesdays and Thursdays primarily focused on finance and administrative operations. Fridays are dedicated to planning, organization, and completion of outstanding tasks for the two departments. While this structure provides clear areas of focus and accountability, the Administrative Coordinator will work collaboratively with both supervisors and respond flexibly to changing priorities and time-sensitive organizational needs.  Occasional front desk coverage until 7:15 P.M. may be needed.

The ideal candidate will enjoy managing a diverse portfolio of responsibilities, demonstrate strong time-management, organization, and communication skills, and be comfortable communicating with children and families, clinicians and tutors, vendors, organizational leaders, and colleagues across departments. 

Roles and Responsibilities

The Administrative Coordinator’s work falls into two categories: Administrative Support and Programmatic Support.

Administrative Support (50%):

These responsibilities will provide administrative support for the finance team:

  • Manage keys and other physical access controls
  • Support contracts workflow
  • Maintain vendor compliance, tax-exemption, and project files
  • Maintain inventory of office, facility, and janitorial supplies
  • Coordinate with facility and administrative service providers
  • Manage the mailroom, apply postage, process and route incoming mail
  • Update eCommerce listings and maintain webstore
  • Perform routine compliance and administrative tasks
  • Maintain files in accordance with the document retention policy
  • Meeting and event logistics
  • Filling in at the front desk
  • Purchasing and managing supplies
  • Document Management

Programmatic Support (50%):

These responsibilities will provide operational support for the center’s programmatic departments. These workflows will allow the clinical and academic departments to maximize their time serving clients by offloading the following:

  • Manage the preparation, organization, uploading, mailing, and distribution of client-related documents and reports
  • Provide routine administrative support to clinicians and tutors to reduce non-client-facing demands and help staff meet client-facing expectations
  • Contact families with appointment reminders and other routine scheduling-related communications
  • Assist with administrative follow-up related to cancellations, missed appointments, and other needs that affect efficient service delivery
  • Assist with purchasing, organizing, and distributing program and office supplies

Requirements and Qualifications 

  •  Experience concurrently managing both recurring/predictable tasks and ad-hoc responsibilities, including sharing project updates with stakeholders 
  • Thrives working with people, including children, families, coworkers, and vendors 
  • Clear verbal and visual communicator (including written communication) 
  • Skilled time manager; flexible, proactive, and detail oriented 
  • Project management experience (preferred) 
  • Business or office administration experience (preferred)
  • Job requires kneeling, bending and carrying
  • Act 33, Act 34, Act 73, Mandated Reporter, and CPR/First Aid certifications and clearances
